Carrier Reconciliation
Find what the carrier charged after you already billed the client.
Momentum reconciles carrier invoices against the label cost quoted in your WMS, tracking number by tracking number, and flags every reweigh, dimensional-weight adjustment, address correction, surcharge and return-to-sender charge so you can re-bill it, claim it, or accept it on purpose.

The problem
Why don't carrier invoices match the label cost?
The rate shown when a label prints is a quote. The carrier bills later — after it reweighs the package, measures its dimensions, corrects the address, or adds a residential or delivery-area surcharge. If you bill clients from the quoted cost, every difference comes out of your margin, one tracking number at a time.
- Reweighs and dimensional-weight corrections
- Address corrections and residential surcharges
- Return-to-sender and intercept charges
- Invoice lines with no matching label in the WMS
How it works
How does carrier invoice reconciliation work?
- 1
Import the carrier invoice
Upload the carrier's detailed invoice file. Momentum parses every charge line and keeps the breakdown — base rate, fuel, surcharges and corrections — rather than a single total.
- 2
Match by tracking number
Charges roll up per tracking number and join to the label's quoted cost from ShipHero. Multi-package shipments are matched as one; a shipment only partly on this invoice waits for the rest instead of raising a false variance.
- 3
Measure the variance
Matches within tolerance clear on their own. Everything else becomes a discrepancy, with the weight entered on the label beside the weight the carrier billed, so a dim adjustment is obvious at a glance.
- 4
Resolve each discrepancy
Turn it into a client charge, record a credit, or mark it accepted. Resolved items stay resolved when an invoice is re-run, so nobody works the same line twice.
Capabilities
What's in Carrier Invoice Reconciliation
What each piece does, in plain terms.
| Capability | What it does |
|---|---|
| UPS detailed invoice parsing | Per-charge breakdown, including shipping-charge corrections and restated billed weight. |
| Under-, over-billed and unmatched views | What the carrier charged over quote, under quote, and lines with no WMS label at all. |
| Entered vs. billed weight | See reweighs and dim corrections per package — and which clients and SKUs trigger them. |
| Return-to-sender tracking | Undeliverable returns, RTS requests and intercepts surfaced as their own charges. |
| Claims board | Lost and damaged shipments tracked through carrier claims to client credits. |
| Voided and duplicate label checks | Voids sync from the WMS; more than one live label on a package is flagged for review. |
What changes
Adjustments get recovered
Carrier corrections become client charges or claims instead of silent margin loss.
Packing problems show up in the data
Repeated dim corrections point to the SKUs and cartons that need re-measuring.
Labels bought outside the WMS surface
Unmatched invoice lines show spend nobody is billing for.

FAQ
Carrier Invoice Reconciliation: common questions
Which carriers does Momentum reconcile?
UPS detailed invoice files today. Tell us which carriers you ship with when you request access.
What is a carrier reweigh or dim-weight adjustment?
After pickup, the carrier measures the package's actual weight and dimensions. If the billable weight — the greater of actual weight and dimensional weight — is higher than what the label declared, the carrier charges the difference on a later invoice. Momentum shows the entered and billed weight side by side for every package.
Can adjustments be re-billed to the client automatically?
Momentum proposes the charge; finance decides. A discrepancy can become a client charge, a credit or an accepted variance with one action, and nothing reaches an invoice without approval.
How often should carrier invoices be reconciled?
Every invoice. UPS bills weekly, and adjustments are easiest to re-bill while the client's billing period is still open. Momentum shows how many days old your latest imported invoice is so reconciliation doesn't fall behind.
